Yearly Salary Range: $48,000 – $58,000

** 1 Year Probationary Period**
The Executive Assistant coordinates and performs a wide variety of responsible and complex administrative support duties for the Board of Commissioners and the Executive Director. The position also supports the executive staff as needed and provides information and assistance to Port personnel and the public regarding the Executive Director and the Board. Responsibilities include handling calls, scheduling, preparing correspondence and reports, commission meeting preparation and follow-up, handling travel arrangements and seminar registrations, tracking activities and a variety of support and special assignments. The Executive Assistant works under broad guidelines and must demonstrate considerable judgment and initiative, with a high level of discretion and confidentiality.
Essential Duties Include:
Commission Meetings (Regular and Special): Track current Port issues and prepare agendas; assemble meeting packets; utilize Drop Box; attend and participate in meetings; responsible for audio recording of meetings; take and prepare meeting minutes; post meeting information and minutes on website; and notice regular and special meetings, public hearings, etc. as required by law.
- Five years of general office work experience, emphasis in public contact, customer service, interpretation and explanation of regulations involving general office work processes and use of modern office technology.
- Writing experience for preparing news releases, newsletters, semi-annual reports, and annual community report.
- Experience with Word, Excel, outlook/email software and Access. Familiarity with Constant Contact, Drop Box, and PowerPoint preferred, but not required.
- High school diploma.
